Library Policy

Library Access :

  • The library is located on the 2nd floor; there is log register and RFID Gate at the entrance to record footfalls.
  • All library users including students and faculty, are required wear their authorized University ID card in order to access the library.
  • All library users both students and faculty are strictly instructed record their class, department, in time and out time with signature.
  • The library usage data collected through the register and LMS are analyzed and documented on a monthly basis.

Library Membership :

  • All Students & Staff are by default members of the library upon successful admission and joining formalities once they receive authorized RV University ID.
  • A Smart Card/ ID Card with unique ID number will be issued to the users by the university to access RVU Library and its resources.
  • Loss of ID card must be reported to the Librarian RV University or Library staff at circulation desk to validate. The replacement of the ID card will be processed after the validation by the circulation desk. The applicable fee of Rs. 500/- for ID card and Rs. 100/- for Lanyard to be paid in the accounts department and receipt to be submitted in the library circulation desk to process the replacement ID Card.

Borrowing Privileges :

  • The following are the categories of borrowing facility for different user group subject to the fulfillment of conditions noted below.

Check Outs :

  • Borrowers are allowed to borrow books during circulation hours i.e. between 9:00 AM to 5:30 PM.
  • Library Card Presentation at the circulation desk, patrons need to present their library cards to the library staff to get it issued.
  • Check the books for damage, missing pages, pencil/pen marks or any other physical or water damage before getting them issued. If any of the above issues are found, please ask the library staff at the issue counter to initial your findings. If any such changes are discovered after issuance i.e., at the time of return, you will be solely responsible for them.
  • After selecting the desired books, the staff member at the circulation desk checks them out using a library management system. This involves scanning the barcode and RFID Card to issue the book.
  • After successful checkout users will receive an auto email notification confirming the successful checkout of the book with due date and other relevant information.
  • Borrower is responsible for returning or renewing an item on or before the due date.
  • Library books will not be issued on other members’ cards, and the books are issued only in the presence of cardholders.
  • ID cards are not transferable.
  • Students can keep a book for 15 days and can renew it twice.
  • No student is allowed to keep the same book more than 45 days which included the initial issuance and maximum of two renewals.

Renewals :

  • After issuing an item from the library user is given a due date by which the item must be returned.
  • Before attempting to renew an item, the user needs to check if the item is eligible for renewal. Not all items may be renewable, especially if other users have placed holds/reservation on them or if the item has reached its maximum renewal limit.
  • Users may renew an issued book if there is no reservation/hold against the book.

Recalls :

  • All library books are subject to recall when another member places a reservation on issued books.
  • Users have the option to request a book that is currently checked out by another user. In such cases, the library may recall the book from the current borrower to make it available for the requester. This process is typically employed for high-demand items or essential materials.
  • The original user will then have five days from the date of notice to return the recalled book, regardless of the initial due date.
  • Recalled books cannot be renewed.
  • Failure to return a recalled book within the five-day period will result in the book being declared lost, and the borrower may be charged the book's cost, in addition to a late fee, according to the library's Fine Rule.

Fine Rule :

  • Each borrowed item has a due date by which it must be returned to the library. If a borrower fails to return the item by the due date, they will incur overdue fine Rs. 5/- per day to encourage timely returns.
  • An auto email notification will be sent as reminders when the due date is approaching or when an item becomes overdue.
  • To clear the fines, borrowers need to return the overdue materials and pay the accumulated fines. Once the items are returned, and the fines are paid, the borrower's account will be cleared, and they can continue to use library services without any restrictions.
  • Fine for an overdue book is Rs. 5/- per day, up to a maximum of 90 days. After 90 days, the book is presumed lost, and the borrower will pay double the cost for the particular book as per the current market price along with applicable overdue fine.

No Dues :

  • Students are required to return all library books, clear any outstanding library dues and obtain a No Due Certificate from the circulation counter before the commencement of the final semester examinations. The No Due Certificate is essential for collecting the hall ticket from their respective departments, enabling them to appear for the examinations without any complications.
  • Faculty members and supporting staff are also requested to return all library books and settle any pending library dues at the circulation counter before their departure from the university premises. By doing so, they can obtain a No Due Certificate, ensuring a smooth exit process and avoiding any inconveniences.
  • The No Due Certificate serves as confirmation that the students or faculty have returned all borrowed library materials, paid any fines for overdue books, and settled any other library-related obligations. It is a crucial document that signifies compliance with library policies and regulations.

Use of Library Computers and Internet :

  • Library Computers and Internet will be used only for academic purposes.
  • Before using any computers from the library users must enter their details such as, name, system number, time etc. in the log register.
  • Personal Laptop will be allowed inside the library but the users must maintain such an environment which will not disturb the others.
  • Wi-Fi access will be provided for the users having laptops and necessary access permission will be available from the IT Department.
  • User should not misuse internet and library computers.
